Trip booking terms and conditions

ALL THE TRAVELLERS AGREEMENT AND DECLEAREATION

All the travelers must agree on following terms and conditions before booking any trip with Glacier adventure company Pvt. Ltd. is a Nepal base adventure company and fully registered and licensed in various department of Government of Nepal.

Mountaineering climbing, trekking and hiking in remote parts of this Himalayan countries carries an inherent risk due to the unfavorable weather condition it may cause injury or death, these incidence are beyond our control. Always we do our best to reduce any risks and hazards based on our capacity, still there are chances of accidents happening, and in this you must agree. Please read the following booking conditions very carefully:

1. Down Payment

  • 20% down payment is required to make in advance as per the company policy.
  • 20% - If more than two months prior to arrival date
  • 100% – If less than two months prior to arrival date (please contact us if this will cause you a problem; we try to be flexible)

2. How to pay your deposit

When you put money in the bank, email us the bank reference number or remittance slips after you instigate the transfer. Sometimes bank forwards the money with different name; if we have reference number/remittance slips and sander details, it will be easy for us to check.

Credit card (visa and master)

When you pay with Credit card (visa & master) you have to pay 3.5% extra charge.

Note: From credit card you can pay only in Kathmandu Office.

3. Last minute booking

We accept your last minute booking with 100% payment (10 days prior to tour starting date ONLY IN CASES OF NEPAL TRIPS but LAST MINUTE BOOKING WILL NOT BE ACCEPTABLE FOR INDIA, BHUTAN AND TIBET TRIPS)

4. No Refund

No refund will be made for 20% deposit amount in case of cancellation of trip for any other reason.

Having paid full amount of any trip, you're entitled to incur refund in case if you want to cancel your trip. Still, cancellation charge is invoiced to you. Written notification of your cancellation should be made to cancel any trip. Nevertheless, you're imposed cancellation charge as advised below: -

  • 60 days or more deposit retained
  • 40 - 59 days before departure 50%
  • 27 - 39 days before departure 75%
  • 01 - 26 days before departure 100%

5. If (incomplete) tour

No refund will be made to clients who drop out from the journey regardless of whatever portions remain unused in the itinerary.

6. Modification in Tour Cost

We reserve the right to revise pricing rate posted at our website, under any circumstances, or on the pressure of various external factors that are further than our control, for instance changes in exchange rate, government action etc. But, we put forth effort to keep on the present rate.

7. Unforeseen situation

Glacier adventure Company Pvt. Ltd cancels your trip, only if because of unforeseen situation like war, unexpected disasters, conflict, unfavorable climate to name a few. We would be happy to refer you alternative trip of a similar standard. Even if this doesn't fit your personal interest, all the money you paid to our company will be refund. But remember, any other expenses incurred by you as a result of this booking are entirely your responsibility.

8. Clients' Responsible

A trekking/tour guide who represents Glacier adventure Company Pvt. Ltd deserve all authority during your tours. If you commit any unlawful act, you are compelled to leave the tour. No refund will be made in such case.

9. Impact on your journey

We put our every effort to ensure comfortable traveling of yours, but it is must to understand that what you might be familiar to in the western affluent countries, the Himalayan countries can't afford such facilities. Weather is another factor that directly impact on your journey. Hence, patience in mind, enthusiasm and proper preparation before head is must to venture into journey.

10. Travel and rescue insurance

You must purchase comprehensive travel and rescue insurance package against medical, natural calamity, helicopter evacuation, personal accident, trip cancellation etc. This is strongly suggested to all our esteemed clients.

11. Tour alteration

To make alterations of any trek or tour itinerary, previous notice is requested. You're advised to stay in touch with us thus. But occasionally, you may be grateful to do so, on the route under certain circumstance for instance bad weather etc.

12. Your personal belongings

On any account, we're not answerable for any loss or damage of your luggage/camera or property belonging to you even when shouldered by porters, ponies or vehicles. That means your personal possessions, luggage are at your risk at the times.

13. Papers & Documents

All necessary documents should be presented in sequence for example to issue visa, necessary permits etc. We're not accountable in case of any trip formality not completed in time before the trip departs on the absent of necessary papers and documents.

14. Risk & Responsibility

Your safety and enjoyment is our prime concern. Therefore we carry out our responsibility honestly and sincerely to ensure your holiday trouble–free as well as you have desired. Nevertheless, unless stated otherwise, trip may be change under uncertain and inherent circumstances such as land-slides, road blockage, flood, snow political unrest, cancellation of flight, delay arrival, sickness or accidents etc. Any extra cost incurring there is your personal responsibility and should be borne on the spot.

15. Addition charge

On our holidays tour or trek packages, rooms or tents are provided in twin sharing basis. Thus, single room supplement charge will be imposed to client who does not have another tour participant to share room / tent with.

16. Flight delay or cancellation

There is more possibility of flight delay or postponed because of bad weather in Himalayan regions which could happen, in particular, in Everest region Lukla, Jomsom, Dolpa, Simikot and Jumla region and so on.

Therefore, expedition or trekking in the remote areas or in as described above, especially during odd season, you're highly advised to reserve extra days to prepare with some delays and avoid frustrating consequence. In case of flight cancellation pre-tour/post-tour, you need to meet your accommodation and food costs yourself.
